These Terms & Conditions govern the use of our website and the provision of computer, IT, Audio-Visual (AV), conferencing, meeting-room, event, and technology equipment rental services.

The availability of specific equipment, models, specifications, quantities, accessories, and services is subject to inventory availability and confirmation at the time of booking.
3. Quotations and Orders
All quotations provided by us are subject to equipment availability and may be valid only for the period specified in the quotation.
A quotation does not constitute a confirmed booking unless expressly confirmed by Ashtavinayak Computec.
Prices may vary depending on equipment specifications, rental duration, quantity, location, logistics, installation requirements, technical support, and other project-specific requirements.
Taxes, transportation, installation, dismantling, technical support, security deposits, and other applicable charges may be charged separately unless specifically included in the quotation.
A booking becomes confirmed only after the applicable commercial and payment requirements have been completed and confirmation has been issued by us.
Verbal discussions or tentative reservations shall not be considered final confirmation unless confirmed in writing.
4. Equipment Availability and Substitution
We make reasonable efforts to provide the equipment, make, model, and specifications agreed upon with the customer.
However:
Equipment may become unavailable due to unforeseen circumstances, technical issues, prior commitments, transportation issues, or other operational reasons.
Where necessary, we may provide an equivalent or superior alternative equipment subject to availability.
Any proposed substitution will, where reasonably practicable, be communicated to the customer.
Images shown on the website may be illustrative and may not always represent the exact unit supplied.
5. Rental Period
The rental period shall be determined based on the booking confirmation or quotation.
Rental charges shall generally apply for the complete agreed rental period.
Delayed collection, delayed return, delayed dismantling, or continued possession of equipment may result in additional rental charges.
Equipment must be returned or made available for collection at the agreed time and location.
Extension of the rental period is subject to prior approval and equipment availability.
Customers should not assume that an extension is automatically granted merely because equipment remains in their possession.
6. Delivery, Installation and Collection
Where delivery, installation, deployment, dismantling, or collection services are included:
The customer must provide accurate delivery and installation details.
The customer must ensure reasonable access to the premises.
The customer must provide necessary permissions, entry passes, parking access, loading/unloading access, and other site requirements.
Delays caused by the customer, venue, building management, security restrictions, traffic restrictions, or circumstances outside our reasonable control may affect delivery or installation timelines.
Additional charges may apply where installation or collection requires additional manpower, waiting time, repeated visits, unusual working hours, or special logistical arrangements.
7. Customer Responsibility for Equipment
All rented equipment remains the property of Ashtavinayak Computec unless expressly stated otherwise.
The customer is responsible for taking reasonable care of all equipment throughout the rental period.
The customer shall:
Use the equipment only for its intended purpose.
Ensure that authorised personnel handle the equipment.
Prevent unauthorised persons from accessing or using the equipment.
Protect equipment against theft, loss, accidental damage, liquid damage, physical damage, electrical damage, misuse, or negligence.
Not sell, transfer, sub-rent, pledge, modify, dismantle, or otherwise dispose of rented equipment.
Not remove identification labels, serial numbers, asset tags, or other markings.
Return all equipment, accessories, cables, adapters, bags, cases, remotes, and other supplied components.
The customer may be liable for repair, replacement, or recovery costs resulting from damage, loss, theft, misuse, or non-return of equipment.
8. Security Deposit
Where applicable, Ashtavinayak Computec may require a refundable security deposit before releasing equipment.
The security deposit:
Is separate from rental charges unless otherwise specified.
May be used towards outstanding rental charges, damage, loss, theft, missing accessories, repair costs, replacement costs, penalties, or other amounts payable by the customer.
Shall ordinarily be refunded after the equipment has been returned, inspected, and all outstanding obligations have been settled.
May be subject to reasonable processing time depending on the payment method and banking/payment gateway procedures.
The requirement and amount of any security deposit shall be communicated to the customer before confirmation of the applicable booking.
9. Payment Terms
Payment terms shall be communicated through the quotation, invoice, booking confirmation, or other written communication.
Depending on the nature and value of the engagement, we may require:
Full advance payment
Partial advance payment
Security deposit
Payment against delivery
Payment against installation
Payment according to agreed milestones
Credit terms for approved corporate customers
Unless specifically agreed otherwise in writing, the customer shall be responsible for making payments within the stipulated timeframe.
Failure to make payment within the agreed period may result in:
Cancellation or suspension of the booking
Withholding of equipment
Additional charges
Withdrawal of preferential pricing
Recovery of outstanding amounts
Other remedies available under applicable law
10. Taxes and Government Levies
All applicable taxes, including GST and other statutory levies, shall be charged as applicable under prevailing law unless expressly stated otherwise.
The customer is responsible for paying applicable taxes associated with the transaction.
The GST details provided by a customer must be accurate and valid. Ashtavinayak Computec shall not be responsible for consequences arising from incorrect GST or billing information provided by the customer.
11. Online Payment and Payment Gateway Policy
Where online payment facilities are provided, payments may be processed through third-party payment gateways, banks, financial institutions, or other authorised payment service providers.
By making an online payment, the customer acknowledges that:
Payment processing may be subject to the terms and policies of the applicable payment gateway.
We do not directly store complete debit-card, credit-card, CVV, UPI PIN, net-banking passwords, or other confidential payment credentials unless expressly stated otherwise.
Payment information is generally transmitted directly to the applicable payment service provider through secure payment infrastructure.
A transaction may be declined, reversed, delayed, or placed under review by the payment gateway, bank, card network, or financial institution.
Ashtavinayak Computec shall not be responsible for failures caused solely by a customer's bank, card issuer, payment gateway, internet service provider, or other third-party financial service.
Customers should never share OTPs, UPI PINs, passwords, CVVs, or banking credentials with our employees or representatives.
A payment shall be treated as successfully received only after confirmation through the applicable payment system or our accounts team.
12. Cancellation Policy
Cancellation terms may vary depending on the nature of the booking, rental duration, equipment reserved, event date, quantity, logistics, and other project-specific commitments.
Unless otherwise agreed in writing:
Cancellation requests must be submitted in writing.
Cancellation charges may apply where equipment, manpower, transportation, technical resources, or inventory have already been allocated.
Bookings cancelled close to the scheduled deployment date may attract higher cancellation charges.
Specially arranged, procured, configured, or dedicated equipment may be subject to non-refundable charges.
Any refund, where applicable, shall be determined after considering the booking terms, services already performed, expenses incurred, and applicable cancellation charges.
The specific cancellation terms mentioned in a quotation, invoice, booking confirmation, or written commercial agreement shall prevail over general cancellation provisions on this website.
13. Refund and Return Payment Policy
Where a refund is approved:
Refunds shall generally be processed through the original payment method wherever technically and operationally possible.
Refund processing time may depend on the customer's bank, card issuer, UPI provider, payment gateway, or other financial institution.
Payment gateway charges, transaction charges, banking charges, cancellation charges, logistics charges, or other non-refundable costs may be deducted where applicable.
Refunds shall not ordinarily be processed until outstanding equipment, accessories, documents, or other obligations have been settled.
Security deposits, where applicable, shall be processed after equipment inspection and reconciliation of outstanding amounts.
In cases involving damaged, lost, missing, or late-returned equipment, applicable costs may be adjusted against refundable amounts.
Approved refunds shall be processed within a reasonable operational timeframe, subject to the payment processor and banking system.
14. Equipment Return Policy
Customers must return all rented equipment and accessories in the condition in which they were supplied, subject to normal reasonable usage.
Upon return:
Equipment may be inspected for physical and functional condition.
Missing accessories may be charged separately.
Damage caused by misuse, negligence, accident, liquid exposure, unauthorised modification, electrical issues, or other customer-related causes may be chargeable.
Non-return of equipment may result in recovery of replacement value and other associated costs.
Late returns may attract additional rental charges.
The final assessment of equipment condition shall be based on inspection and available service records.
15. Technical Support
Where technical support is included in the rental agreement:
Support shall be provided within the agreed scope and service parameters.
Support response time may vary depending on the nature and severity of the issue.
Remote or on-site assistance may be provided depending on operational feasibility.
Issues caused by third-party software, customer network infrastructure, venue infrastructure, power supply, internet connectivity, unauthorised changes, or customer misuse may fall outside the agreed support scope.
Additional charges may apply for support beyond the agreed scope.
16. Data Security and Customer Information
We recognise the importance of protecting customer information and business data.
We take reasonable administrative, technical, and organisational measures to protect information provided to us.
Customers should nevertheless understand that:
No internet transmission or electronic storage system can be guaranteed to be completely secure.
Customers are responsible for maintaining appropriate security controls on their own systems.
Customers should remove confidential, personal, or sensitive information from rented devices before returning them.
Customers should log out of accounts, remove passwords, disable device-lock mechanisms, and securely erase their information before equipment is returned wherever applicable.
We may perform reasonable technical checks, maintenance, diagnostics, or data sanitisation processes on returned equipment.
Customers should not use rented equipment to store information that cannot be appropriately removed before return unless a separate written arrangement has been made.
Where equipment is returned with customer data still present, we may undertake necessary technical procedures to prepare the equipment for subsequent rental, which may include data wiping or system restoration.
17. Privacy and Use of Personal Information
We may collect information necessary to process enquiries, quotations, bookings, payments, deliveries, customer support, invoicing, and business communications.
Information may include:

Company/organisation details
Billing information
GST information
Delivery information

The customer will comply with the agreed rental conditions.
The customer will return equipment as required.
The customer will make all applicable payments within the agreed timeframe.
26. Corporate and Institutional Customers
For corporate, government, institutional, event, or large-scale customers, additional commercial terms may be established through a quotation, purchase order, work order, service agreement, rental agreement, or other written document.
Where such written terms are expressly accepted by both parties, those specific terms shall govern the relevant transaction to the extent of any inconsistency with these general website Terms & Conditions.
27. Modification of Terms

Customers are responsible for providing accurate contact information and promptly informing us of any changes.
30. Governing Law

31. Exclusive Jurisdiction
